What is contractor management software?

Contractor management software is the system a contracting business runs on. It keeps track of customers and leads, turns requests into estimates, schedules crews, records what happens on the job, and gets the invoice out the door. The good ones also tell you whether the job made money.

1. The lead comes in

2. The estimate goes out

Your estimator builds the quote from your own pricebook, or lets the AI Quote Builder draft it from the site notes using your own AI key. The customer opens the quote from a link, approves it and signs. No account, no password.

3. The job gets scheduled and run

The approved quote becomes a job with a project manager, a crew, a checklist and a place on the schedule. Change orders go to the customer for signature before the extra work starts.

4. The field records what happened

Crews clock in with GPS, take photos that file themselves to the job, and work through checklists from their phones. If there's no signal on site, photos wait on the phone and upload when it comes back.

5. The money closes the loop

Deposits and invoices go out with card payment links. With the accounting add-on, receipts, subcontractor payments, Ramp card spend and approved labor post to the ledger against the job, so the job's profit and your P&L agree.

• One customer record. Can a quote, a job, its photos and its invoice all be reached from the customer, without syncing between apps?
• Real job costing. Where does the job's cost come from? If it's a separate spreadsheet, it will drift from your books.
• Field adoption. Will your crew actually use it? Look at the phone app, offline photo capture and language support.
• Permissions. Can you give a foreman what they need without handing over payroll or financials?
